Project Coordinator - Fortiline


Position Summary

The overall responsibility of this position is to support metering sales company-wide. This person will assist with metering projects from start to finish. The primary responsibilities for this position will include, but not limited to, helping create responses to RFP’s, reviewing bid documents, formalizing questions, entering bids, creating and maintaining project schedules, and overall troubleshooting.

Job Expectations

Essential Duties & Responsibilities

  • Work closely with GM, Meter Manager, Regional Sales Managers, Branch Managers, Outside Sales and Inside Sales to ensure a smooth meter sales cycle
  • Be thoroughly aware of all upcoming meter bids; maintain close communication on pending bids with all staff in addition to utilizing various Bid Data Services
  • Through frequent phone and email conversations, maintain ongoing relationships with customers
  • Have a strong understanding of municipal and project specifications
  • Have a strong understanding of procurement processes, bid scheduling, project scheduling, and Mincron. 
  • Participate in training from meter companies
  • Manage assigned meter bids to ensure Fortiline quotations are well organized, thorough, meet specifications and are price competitive
  • Create and distribute RFP responses
  • Formally respond to RFPs with written questions for any clarification
  • Create billing for meter installation on jobs obtained by Fortiline’s sales team
  • Assist with the billing interface and CIS details
  • Manage the installation process of meters by visiting customers and assisting the sales team with on-site customer calls
  • Hold on-site meetings with current customers to troubleshoot and address any project concerns
  • Familiarize and maintain accurate project scheduling
  • Enter and review purchase orders, and ensure timely shipment
  • Answer product inquiries regarding order detail, delivery and confirmation
  • Maintain a working knowledge of billing interfaces, and other technical troubleshooting
  • Work with existing sales force to ensure proper RFP procedure
  • Work closely with vendors to ensure we are receiving the best pricing and customer service
  • Ensure that Fortiline is getting any and all meter opportunities in our footprint
  • Create and maintain spreadsheets to track win/loss records within a specific territory
  • Ensure proper and effective verbal and phone communication with customers  
  • Keep order backlog and quote front log updated and accurate in Mincron
  • Create proper invoices per job requirements, and maintain records of any retainage
  • Coordinate any labor needed within project, and troubleshoot any issues
  • Play an active role in securing quick payment on all invoices.  Coordinate and respond to the Credit department on all payment issues
  • Present a professional image at all times to customers and vendors
  • Perform other related duties as assigned

  • Excellent understanding of Microsoft Excel and Word

  • A working knowledge of Mincron - Bid entry, pricing, and order management

Work Environment & Physical Demands

  • Typical office environment - moderate noise level 


  • Bachelor degree preferred. Some college plus work experience will be considered.
