Fleet Administrator

Organizes and directs functions and activities related to the procurement, servicing, operation, maintenance, repair, and disposition of Company fleet assets (vehicles, trailers, and material handling equipment); administers fleet information and management systems; prepare reports and/or analysis relating to fleet management for business unit leaders or business contacts.

Job Expectations

Job Summary:

Organizes and directs functions and activities related to the procurement, servicing, operation, maintenance, repair, and disposition of Company fleet assets (vehicles, trailers, and material handling equipment); administers fleet information and management systems; prepare reports and/or analysis relating to fleet management for business unit leaders or business contacts.

Essential Job Responsibilities:

  • Coordinate and maintain the fleet inventory via web based fleet management software tool
  • Work with Regional and Branch offices to plan, organize, transfer, and coordinate the disposition of company fleet assets
  • Monitor, evaluate and determine priority of vehicle maintenance, servicing and repair projects; control and authorize expenditures in accordance with established limitations
  • Maintain asset related files, electronic and physical, to ensure complete documentation Direct and participate in the preparation and maintenance of a variety of statistical reports, records and files related to fleet assets, maintenance, repairs and operation
  • Coordinate and maintain current program documentation with regards to administration of the fleet policies, fleet insurance, and other applicable company, regulative or legislated requirements
  • Administer corporate fleet fuel program, including activation and deactivation of driver PINs and vehicle fuel cards, assist branch managers with fraudulent activity reporting and investigation
  • Auditing, coding, and submitting for payment monthly fleet related invoices
  • Generating and distributing fleet related reports
  • Other duties and ad hoc reporting, as assigned

Qualification Requirements:

  • Previous asset-based transportation experience
  • Basic knowledge of DOT regulations preferred
  • Basic knowledge of general accounting preferred
  • 1-2 years fleet administration experience

Technical Requirements:

  • Proficient use of all Microsoft Office programs; moderate to advanced ability with Excel
  • Ability to learn multiple web based portals available from a variety of vendors

HSE Requirements:

  • Sitting, standing, walking, twisting, bending; light to moderate lifting on occasion
